Whether it’s a workshop, a Christmas party or a conference, chances are you are bound to be tasked with organising a workplace event at some point. As one of Australia’s leading workplace solutions providers, we’ve outlined our six top tips for organising and running a successful event.
Scope it out Begin by identifying the outcomes your stakeholders would like from the event and agree the basics such as who the audience is and what budget you have to work with. Think about the best way to deliver against those objectives and jot down any initial thoughts. Run your ideas past a few people and build on them as a team. If you’re new to the business, make sure you get a feel for the company’s culture to engage the audience and align your event.
Make a plan and prep Planning an event can be overwhelming, especially if there are many pieces to the puzzle. Having a plan and a working schedule with realistic deadlines is key to organising your mind and delivering the work on time. Make sure you keep checking in on the plan and consider the roles that other people might play in the delivery of your plan – account for lead times with suppliers and time for approval by stakeholders.
For the day, make sure that you have developed clear run sheets and agendas to keep people informed, and if you have a team of helpers, host a briefing session to ensure everyone is clear on their roles and to capture any questions.
Ask for help This one is crucial because many hands make light work. You might be new in the job or you might have a big event to plan. Knowing who’s who or how to quickly get things done can be tricky, but most people are happy to help if you ask them – so don’t be afraid to ask for assistance.
Stay calm and imitate a swan Things will go wrong – accepting that it’s not all going to be perfect is important. Keep the objective in mind and don’t sweat the small stuff. The important thing is to be confident and to imitate a swan – calm and unruffled on the surface but paddling frantically underneath!
Be present on the day On the day of the event, it’s important to not attempt to multi-task on other projects or answer emails that can wait. Being there to help with any last-minute requests gives the attendees a better experience and gives your stakeholder the confidence that your event is under control.
